Switching real estate CRM
Moving a brokerage off one CRM and onto another, without losing the history that made the old one worth keeping.
Switching real estate CRM means moving leads, contacts, listings, projects, documents and activity history into the new system, remapping agents to their portal profiles, reconnecting portal and messaging integrations, and rebuilding pipelines and SLA targets. Clix supports bulk import of leads and listings, and a one month free trial is long enough to run both systems in parallel before committing.
Get your data out first
Before anything else, confirm you can export from your current system, in what format, and whether the export includes activity history rather than just the current state of each record. A CRM you cannot export from is a CRM you cannot leave, and that is worth knowing before you renew rather than after.
- Leads and contacts with their requirement fields
- Listings with media, owner and permit details
- Projects and unit inventory
- Activity history, not only current state
- Documents and agreements
Run both in parallel for a month
The safest switch is not a cutover, it is an overlap. Point new portal enquiries at the new system while the old one still holds the back catalogue, and give the team a few weeks where being in the wrong place is not costly. The Clix trial is one month with no card, which is deliberately long enough to do this.
- New enquiries to the new system
- Old system read only for history
- Agents working in both for a short period
- Cut over once the team stops opening the old one
The three things that break on day one
Every switch hits the same three problems. Agents not mapped to their portal profiles, so nothing publishes. Pipelines copied stage for stage from the old system including the stages nobody used. And SLA targets set to whatever the old system had, which nobody ever hit.
- Map every publishing agent to their portal profile
- Rebuild pipelines from how you work now, not from the old config
- Set SLA targets you can actually meet, then tighten
- Reconnect portal, messaging and calendar integrations
What to ask before you commit
Can I export everything, including activity history? Is there a minimum contract? What happens to my data if I leave? A vendor that answers all three plainly is telling you something about how the relationship will go.
